Step by
Step Instructions: Generating an E-Quote
With our change this year to HP as our new PC
standard (purchasing through our new vendor, Western
Blue), we've set up a new place where anyone can easily
generate an electronic quote that can be used in your
requisition. Here are the steps you'll need to follow:
Generating
a Quote for Computers and Other Technology Products:
1. Log in to the FCUSD shopping area on Western
Blue's site. You'll want to click on the link below,
then use the following information to get in
(NOTE: Don't use your Novell or other login
information -- those won't work here.)
Click this link to visit the
FCUSD Technology Quote Site
sign in using: westernblue@fcusd.org
as your ID, then fcusd for the pw
Anyone can build a cart - a cart is the term
Western Blue uses to mean a Quote. The fiscal controls are at the purchase order requisition level
(in other words, you can't actually buy anything here,
you can just generate a quote which has to be entered in a
requisition and approved through the regular district
processes.
2. Select the desktop or laptop configuration:
a.
Using the combo boxes, select any options (notice the small
print at the bottom that tells you exactly what the
"standard" computer already comes with - it's good for about
95% of our uses!)
b.
Specify the quantity
c.
Click “Add to Cart”
d.
VERY IMPORTANT:
Enter a description for your cart – be specific!
Since all users use the same account, it will be easy for
you to confuse your cart with another if you leave this too
generic. A good example might be:
"CS, Computer Lab
Replacement (Aaron MacDonald)"
Tells you which school/site, what the quote's for, and
who ordered it.
e.
Click “Save Cart for Later”
3. When you're done building your cart,
you're almost finished. Just a few more steps:
a. Select the cart you just built from the list.
Do not modify or delete carts that don’t belong to you.
b. Filter the list, if needed, to reduce confusion
c.
Select “Print” or “E-mail”
d. Give the saved cart
details to whomever at your site processes PO
requisitions.
They will need to know the vendor (Western Blue) and
the
cart number (listed on the printout as Doc #).
Other
Handy Info:
1. Modifying a saved cart
a.
Quantities can be changed - configurations can’t. Need
to do a new quote for a new configuration.
b.
A single cart can’t contain different configurations of the
same product type
2. Regarding the option on the desktop page for “Secure Cart Delivery”
a.
This option will be used for large (>10) deployments
because...
b.
The
PCs arrive unboxed and assembled on rolling carts, so the
school doesn't have to do a lot of unboxing, etc.
3. Image Development
a. An Image is a
copy of the hard drive of your computers, pre-configured
exactly as you want them to be, then copied across many
computers. The district has a "standard" image for
regular computer orders, however, your
ETIS technician will work with you or other staff to
complete an image for your school's computer lab with
all your software included.
b.
It's important that you carefully plan for software purchases.
Software will typically only be installed/updated once per year.
PCs will continue to be maintained and bug fixes will be
applied.
